Graduate Admissions Project (GAP)

 

With the release of the new graduate application form, the functionality of various elements attached to the current application form will change. Please see an extensive list of these below:

  1. Queries

Accessible via: Reporting Tools > Query > Query Viewer

Stakeholders affected: GAO and Funding Bodies

The following queries in CamSIS will continue to be available, but will not contain data captured after 23rd August, 2016:

Action required: If you or your team use any of the above queries and will continue to need them upon the release of the new application form, please notify the project with details via gap-contact@admin.cam.ac.uk.

All other queries will continue to report as usual.

 

  1. 360 Degree View -- View Grad SAF Data

Accessible via: 360 Degree View > Admissions Tab > Graduate Admissions section

Stakeholders affected: Colleges, Departments, Funding Bodies and GAO

After 23rd August, 2016, this will no longer be available.

Action required: If you need to see application information, you must refer to the Graduate Application Form PDF that is available in CamSIS, as seen in the previous communication.

If you do not have access to the PDF, please notify the project via gap-contact@admin.cam.ac.uk.

 

 3. Supporting documentation

Stakeholders affected: Everyone

To help facilitate the new funding timetable, the maximum number of days required to upload supporting documentation is to be reduced from 14 days to 7 days, upon recommendation by the Postgraduate Admissions committee. This will take effect on the 5th September, 2016.

This is an interim measure – for 2018/19 admissions, applicants will upload supporting documents before submitting their application.

Action required: Upon the release of the new Graduate Application Form, please amend any guidance that advises applicants to submit supporting documentation within 14 days to 7 days.

 

  1. Reports – Applicants for postgrad funding

Accessible via: Student Admissions > Reports > Applicants for postgrad funding

Stakeholders affected: Funding Bodies

After August 23rd, 2016, this report, which is used to populate TOAST system, will no longer be available. Following the release of the new application form, the TOAST system will be populated via an automated import.

Action required: No action required

 

  1. Financial Tracker -- SAF Row

Accessible via: 360 Degree View > Admissions Tab > Financial Tracker section

Stakeholders affected: Funding Bodies

The SAF row has been functioning incorrectly for some time. After August 23rd, 2016, this row will no longer be added to applications within the Financial Tracker. Funding bodies will be given alternative reporting to access information on who has applied for funding.

 6. References

Stakeholders affected: Applicants and GAO

In the current application form, applicants provide details of their referee; the referee is then automatically contacted by the system after payment and submission of the application.

With the new application form, applicants will be able to request references from referees before submitting their application. They will also be able to amend, prompt or delete referee details if a reference is yet to be provided.

Applicants WILL NOT be able to view the submitted reference, but will be able to see whether or not a reference has been received.

All applications by continuers will now require two references.
